Cancellation & Refund Policy & Disclaimer

At Vanraj Safaris, we strive to provide a seamless booking experience while maintaining transparency regarding cancellations, refunds, and the nature of wildlife travel. This policy outlines the terms applicable to cancellations, refunds, and important service disclaimers. By confirming a booking with Vanraj Safaris, you agree to this policy.

Cancellation by the Guest

All cancellation requests must be submitted in writing via email or through the official communication channels of Vanraj Safaris.
The effective date of cancellation shall be the date on which the written request is received.Cancellation charges shall be applicable as follows:
If the booking is cancelled more than 120 days before the scheduled arrival or trip commencement date, 10% of the total booking amount will be deducted as cancellation charges.
If cancelled between 91 and 120 days before arrival, 20% of the total booking amount will be charged.
If cancelled between 61 and 90 days before arrival, 35% of the total booking amount will be charged.
If cancelled between 31 and 60 days before arrival, 50% of the total booking amount will be charged.
For cancellations made less than 31 days before the scheduled arrival or trip commencement date, 100% of the booking amount shall be retained, and no refund will be applicable.
Where hotels, resorts, transport providers, or government authorities impose stricter cancellation policies, those policies shall prevail, and the applicable charges shall be borne by the guest.

Safari Permit Cancellation

Safari permits are issued by the respective State Forest Departments and are governed entirely by their rules and regulations.Once a safari permit has been booked or confirmed, no cancellation, refund, or alteration is guaranteed. While Vanraj Safaris will make reasonable efforts to assist guests with modification requests wherever permitted by the concerned Forest Department, approval of such requests is solely at the discretion of the respective authorities. Vanraj Safaris cannot guarantee any changes, transfers, date modifications, zone changes, or refunds once the permit booking process has been completed.

Amendments to Bookings

Requests for changes to travel dates, guest names, accommodation, safari schedules, or other services are subject to availability and the policies of the respective service providers.Certain amendments may not be possible after permits or reservations have been confirmed and may be treated as a cancellation followed by a new booking.Additional charges, revised tariffs, or supplier-imposed fees may apply for any approved modifications.

No Show and Early Departure

No refund shall be provided for:
Failure to arrive on the scheduled date.
Late arrival resulting in missed services. Unused accommodation, safaris, meals, transportation, or other inclusions.
Voluntary early departure from the tour or package.
Unused portions of any package are non-transferable and cannot be exchanged for cash or future credit unless specifically approved in writing by Vanraj Safaris.

Refund Process

Where a refund is applicable, it shall be processed after deducting applicable cancellation charges, non-refundable permit fees, payment gateway charges, banking charges, taxes where applicable, and any supplier-imposed deductions.Approved refunds are generally processed within 7 to 15 working days from the date of approval. However, the actual credit timeline may vary depending on the banking system or payment service provider.Refunds will ordinarily be made through the original mode of payment unless otherwise mutually agreed.
