These Terms & Conditions ("Terms") govern your use of our website, products, and services, including wildlife safari bookings, accommodation reservations, transportation arrangements, tour packages, and all other travel-related services offered by Vanraj Safaris.By accessing our website, submitting an enquiry, or making a booking with us, you acknowledge that you have read, understood, and agreed to these Terms & Conditions. If you do not agree with any part of these Terms, please refrain from using our website or booking our services.
About Vanraj Safaris
Vanraj Safaris is a wildlife travel company specializing in wildlife safaris, jungle lodges, nature tours, birdwatching expeditions, photography tours, and customized travel experiences across India's national parks and wildlife reserves.Vanraj Safaris acts primarily as a travel facilitator and booking coordinator. We arrange safari permits, accommodation, transportation, guides, and related travel services through authorized government departments, hotels, resorts, transport providers, and other third-party vendors.Unless expressly stated, Vanraj Safaris does not own or operate national parks, safari vehicles, resorts, hotels, or transportation fleets. These services are provided by independent third-party organizations whose policies and operational decisions remain outside our direct control.
Acceptance of Terms
By using our website or booking any service through Vanraj Safaris, you agree to:
Comply with these Terms & Conditions. Provide accurate and complete information during booking.
Abide by all rules issued by the Forest Department, park authorities, hotels, and transport providers.
Accept that wildlife travel involves certain inherent risks and uncertainties.
These Terms apply to all customers, visitors, corporate clients, travel agents, and business partners using our services.
Eligibility
ou confirm that: You are at least 18 years of age, or
You are booking on behalf of a minor under the
supervision of a parent or legal guardian. You have the legal authority to enter into binding agreements.
All information provided during booking is true, complete, and accurate.
Providing false information may result in cancellation of your booking without refund.
Booking Process
Bookings may be made through our website, email, telephone, WhatsApp, or other official communication channels.
A booking is considered confirmed only after: Availability has been verified.
Required guest details have been received.
Applicable advance payment has been successfully processed.
Written confirmation or booking voucher has been issued by Vanraj Safaris.
An enquiry or payment alone does not constitute a confirmed booking until official confirmation has been provided.
Guest Information
Guests are responsible for providing accurate information including:
Full name (as per Government-issued ID) Age, Gender, Nationality, Contact number, Email address, Identity document details where required GST details (if applicable)
Incorrect information may result in cancellation of safari permits, denied entry, or additional charges imposed by government authorities or service providers.
Vanraj Safaris shall not be liable for losses arising from incorrect or incomplete information submitted by the guest.
Pricing
All prices quoted are subject to availability at the time of confirmation.
Prices may vary due to: Seasonal demand Government revisions Safari permit fee changes Hotel tariff revisions Transportation costs Fuel price fluctuations Taxes Currency fluctuations (where applicable)
Unless specifically mentioned, prices do not include:
Personal expenses Travel insurance Camera fees Monument entry fees Tips or gratuities Meals not mentioned in the itinerary Laundry Telephone expenses Medical expenses Adventure activities not listed in the package
Applicable GST and statutory taxes shall be charged as per prevailing Government regulations.
Payments
To secure your booking and ensure timely confirmation of safari permits, accommodation, transportation, and other travel services, guests are required to adhere to the following payment terms:
7.1 Booking Advance : A minimum advance payment of 50% of the total booking amount, or the minimum amount specifically communicated by Vanraj Safaris at the time of booking, is required to initiate and confirm your reservation.
Please note that certain services, including safari permits, premium accommodations, long weekends, festive dates, peak season bookings, or special packages, may require a higher advance payment or even full payment at the time of booking. Such requirements will be communicated during the booking process.
A booking shall be considered confirmed only after the required advance payment has been received and a written confirmation or booking voucher has been issued by Vanraj Safaris.
7.2 Balance Payment
The remaining balance of the total booking amount must be paid at least 15 (fifteen) days prior to the scheduled trip commencement date, unless otherwise agreed in writing.Failure to make the balance payment within the stipulated timeline may result in cancellation of the booking. Any applicable cancellation charges, supplier penalties, or non-refundable permit fees shall apply in accordance with our Cancellation & Refund Policy.
7.3 Last-Minute Bookings
For bookings made within 15 days of the scheduled arrival or trip start date, 100% of the total booking amount is required at the time of booking.No reservation, safari permit request, accommodation booking, or transportation arrangement will be processed until the full payment has been successfully received.
7.4 Accepted Payment Methods
Vanraj Safaris currently accepts payments through the following official channels: UPI (Unified Payments Interface) Bank Transfer (NEFT / RTGS / IMPS) Secure Online Payment Links Other payment methods, if specifically communicated by Vanraj SafarisGuests are requested to make payments only to the official bank accounts or payment links shared by authorized representatives of Vanraj Safaris. We shall not be responsible for payments made to unauthorized accounts or fraudulent payment requests.
7.5 Payment Gateway & Banking Charges
Any payment gateway convenience fees, service charges, transaction charges, bank charges, currency conversion fees, or other processing charges imposed by banks, payment gateways, or financial institutions are not included in the package cost and shall be borne entirely by the guest.The amount received by Vanraj Safaris must match the payable booking amount. If any deductions are made by the payment provider or bank, the guest shall be responsible for paying the balance amount to complete the booking.
7.6 Pricing & Outstanding Payments
Unless otherwise agreed in writing, all quotations are valid for the period specified in the quotation. In the event of revisions in government taxes, safari permit fees, park entry charges, accommodation tariffs, transportation costs, or other supplier charges before the booking is fully paid, Vanraj Safaris reserves the right to revise the final payable amount accordingly.Travel documents, hotel vouchers, safari permits, or other booking confirmations may be withheld until full payment has been received and cleared.
7.7 Payment Confirmation
Upon successful receipt of payment, Vanraj Safaris will issue an acknowledgment or payment confirmation through email, WhatsApp, or other official communication channels. Guests are advised to retain proof of payment until the completion of their trip.
Safari Permits
Safari permits are issued solely by the respective State Forest Department. Vanraj Safaris facilitates process but does not control: Permit availability Zone allocation Vehicle allocation Guide allocation Safari timings Government regulations. Permit issuance remains entirely at the discretion of the Forest Department.
Wildlife Sightings
Wildlife sightings can never be guaranteed.National parks are natural habitats where animal movement depends upon numerous factors including: Weather conditions Season Habitat conditions Animal behaviour Time of day Forest management activities. No refund, compensation, or alternative safari shall be provided solely because a guest did not observe a particular animal, including tigers, leopards, elephants, or other wildlife.
Forest Department Rules
All guests must strictly follow the rules prescribed by the respective Forest Department.These include but are not limited to:
Carrying valid identification.
Reaching the safari gate before reporting time.
Following guide instructions.
Remaining seated during the safari unless otherwise permitted.
Maintaining silence while inside the forest.
Respecting wildlife and other visitors.
The decision of the Forest Department and park management shall be final in all operational matters.
Mobile Phone Policy
Guests must comply with all regulations regarding mobile phone usage inside protected forest areas.
Where prohibited by the Forest Department, mobile phones are not allowed inside the park and must remain outside or be handled strictly as instructed by park authorities.
Where mobile phones are permitted, they should remain on silent mode and must not be used in any manner that disturbs wildlife, other visitors, or the natural environment.
Guests are solely responsible for complying with the latest park-specific regulations.
Photography & Drone Policy
Photography for personal use is generally permitted subject to park regulations.
Commercial photography, videography, filmmaking, documentaries, or media productions may require prior written approval from the concerned authorities.
The use of drones is prohibited unless specifically authorized by the relevant government authority.
Guests are responsible for obtaining any necessary permissions before undertaking commercial shoots.
Accommodation
Accommodation is provided by independent hotels, resorts, jungle lodges, or camps.Room allocation, amenities, check-in procedures, and property policies are governed by the respective accommodation provider. Standard hotel timings generally are: Check-in: 12:00 PM to 2:00 PM Check-out: 10:00 AM to 11:00 AM
Early check-in or late check-out is subject to availability and may incur additional charges. Special requests cannot be guaranteed.
Transportation
Transportation services are arranged through authorized third-party operators.Vehicle categories, driver assignments, and routes may change due to operational requirements. Unexpected delays caused by traffic, weather, road closures, strikes, vehicle breakdowns, or force majeure events shall not constitute grounds for compensation. Reasonable efforts will be made to arrange alternative transportation where feasible.
Guest Conduct
The following activities are strictly prohibited:
Littering
Feeding wildlife
Smoking where prohibited
Alcohol consumption inside protected forest areas
Loud music
Playing recorded animal sounds
Harassing wildlife
Damaging forest property
Carrying illegal weapons
Violating Forest Department regulations
Any guest engaging in inappropriate behaviour may be denied further participation without refund.
Health & Fitness
Guests should ensure they are medically fit for wildlife travel.
Individuals with serious medical conditions, mobility limitations, or special assistance requirements should inform Vanraj Safafis before booking.
Guests are responsible for carrying:
Required medications
Personal medical equipment
Emergency prescriptions
Vanraj Safaris shall not be responsible for medical emergencies arising during the trip.
Travel Insurance
We strongly recommend that every guest obtain comprehensive travel insurance covering:
Trip cancellation
Medical emergencies
Personal accident
Lost baggage
Travel delays Natural disasters
Vanraj Safaris does not provide insurance.
Force Majeure
Vanraj Safaris shall not be liable for delays, cancellations, or inability to perform services resulting from circumstances beyond our reasonable control, including but not limited to:
Natural disasters Floods Earthquakes Forest fires Epidemics or pandemics Government restrictions Political unrest Road blockages Wildlife emergencies Park closures Acts of terrorism Civil disturbances Adverse weather conditions.
In such cases, refunds or alternatives shall be subject to the policies of the respective service providers and applicable laws.
Limitation of Liability
Vanraj Safaris acts as an intermediary between guests and independent service providers.To the fullest extent permitted by law, Vanraj Safaris shall not be liable for: Delays or cancellations by third-party suppliers. Changes in safari schedules or zones. Wildlife sightings or the absence thereof. Loss, theft, or damage to personal belongings. Injuries, illnesses, accidents, or death arising during travel except where directly caused by our proven negligence. Additional expenses resulting from events beyond our reasonable control.Guests participate in wildlife activities at their own risk.
Intellectual Property
All content available on the Vanraj Safaris website, including text, graphics, logos, photographs, videos, designs, and trademarks, is the intellectual property of Vanraj Safaris or its licensors unless otherwise stated.No material may be copied, reproduced, modified, distributed, or republished without prior written permission.
Website Usage
Users agree not to: Attempt unauthorized access to our systems. Introduce malware or malicious code. Copy or scrape website content without permission. Use automated tools to interfere with website operations. Misrepresent their identity while using our services.We reserve the right to suspend access to users engaging in unlawful or abusive activities.
Privacy
Your use of our website and services is also governed by our Privacy Policy, which explains how we collect, use, store, and protect your personal information.
Media & Promotional Content
During your journey with Vanraj Safaris, photographs and videos may be captured by our team or our authorized representatives for promotional, marketing, and informational purposes. These images or videos may be used on our website, social media platforms, brochures, advertisements, or other marketing materials.
If you have any objection to the use of your photograph or video, you may notify the Vanraj Safaris team at any time. Upon receiving a reasonable request and verifying the details, we will make reasonable efforts to remove or discontinue the use of the concerned content from our digital platforms within a reasonable timeframe.
Some photographs displayed on our website may be provided by guests, photographers, resorts, tourism partners, or other third-party sources with permission or appropriate attribution where applicable. If you are the rightful owner of any image or video and believe it has been used without appropriate authorization or wish for it to be removed, please contact us. Upon verification of your request, the content will be removed or appropriate corrective action will be taken promptly.
Amendments
Vanraj Safaris reserves the right to update or modify these Terms & Conditions at any time without prior notice.The latest version published on our website shall supersede all previous versions and will become effective upon publication.Guests are encouraged to review these Terms periodically before making a booking.
Governing Law & Jurisdiction
These Terms & Conditions shall be governed by and interpreted in accordance with the laws of India.Any disputes arising from the use of our website or services shall be subject to the exclusive jurisdiction of the competent courts at the location where Vanraj Safaris is registered, unless otherwise required by applicable law.
